Creating and sending your first invoice

Invoices in Bakekick let you request payment from a customer, track what's been paid and what's still owed, and keep a clean record of every transaction — all without a spreadsheet or a third-party payment app.

This guide walks you through creating your first invoice from scratch, adding your order details, and sending it to a customer in under 5 minutes.

Before you begin

Make sure you've completed your bakery profile in Settings — your business name, logo, and payment info will appear on every invoice you send. Customers who receive incomplete invoices are less likely to pay promptly.

Note

You'll need to connect a payment method (Stripe or PayPal) before customers can pay online. Go to Settings → Payments to set this up. You can still create and send invoices without it, but customers won't be able to pay through the link.

Step 1: Open a new invoice

    Go to Orders in the left nav

    From your Bakekick dashboard, click "Orders" in the left sidebar. You'll see a list of all your current and past orders.

    Click "New Invoice"

    Click the orange "New Invoice" button in the top-right corner of the Orders page. This opens a blank invoice form.

    Choose or add a customer

    Type your customer's name to search your contacts, or click 'Add new customer' to create a new one. You'll need their name and email to send the invoice.

Step 2: Add your order details

Fill in the order details: what you're baking, the event date, delivery or pickup, and any special instructions. These appear on the invoice the customer receives, so be as specific as you'd put in a contract.

Pro tip

Save your most common order types as templates. Next time you take a birthday cake order, you can pre-fill 80% of the invoice in one click. Templates are available under Settings → Invoice Templates.

Step 3: Set the amount and deposit

Enter your total price. If you want a deposit, toggle on 'Require deposit' and choose a percentage (25%, 50%, or custom). Bakekick will automatically split the invoice into a deposit-due amount and a balance-due amount.

  • The deposit is collected immediately when the customer pays the invoice link.
  • The remaining balance shows as "Due on pickup" or "Due on delivery" — you can set this date.
  • You can also request the full amount upfront by setting the deposit to 100%.

Step 4: Send to your customer

Click 'Send Invoice.' Bakekick will email your customer a branded invoice with a secure payment link. You can also copy the link and send it yourself via DM, text, or WhatsApp.

What your customer sees

When your customer clicks the link in their email, they land on a clean order summary page with your bakery name, the order details, the amount due, and a Pay button. No account or password required — access is secured by a magic link for that order, which stays valid for the life of the order. They pay with a card and receive a receipt automatically.

Once they've paid, you'll get a notification and the invoice status in your dashboard will update to 'Deposit paid' or 'Paid in full' depending on how much they paid.
